# Cancel or resume a subscription

> Understand owner-only cancellation, pending cancellation and resumption, and the current limitations around dates and post-expiry access.

The workspace **Owner** can schedule cancellation of a supported provider-linked subscription from **Settings → Billing**. An admin may see the controls, but the cancellation and resumption actions require owner access.

Cancellation is a subscription action, not a request to delete the workspace or its data. It is also not an automatic refund request.

## Before you cancel

Check the current plan and the date shown in the confirmation. If the date is already in the past, missing when you expect one, or different from the provider's billing record, contact **[support@protodesk.io](mailto:support@protodesk.io)** before proceeding. Do not rely on a stale date to predict access or charges.

Review your team's required features and access. The dialog describes a move to Free at the end of the period, but the current expiry handling can also mark a workspace **expired/read-only**. Do not assume that cancellation leaves a fully writable Free workspace. Ask support to confirm the post-expiry state you need before relying on it for ongoing support work.

## Schedule cancellation

1. Sign in as the workspace owner and open **Settings → Billing**.
2. Select **Cancel plan** if it is available.
3. Review the cancellation information. Select **Keep subscription** if you do not want to proceed.
4. To commit, select **Cancel subscription**.
5. Verify that Billing now shows **Cancels on…** or **Cancels at period end**. If it does not, check the provider record or contact support instead of assuming the cancellation succeeded.

The action schedules cancellation at the provider's period end rather than immediately removing the paid plan. It does not establish a refund, erase previous invoices, or settle an existing unpaid balance.

The dialog includes optional reason and feedback fields. Currently, those fields are not forwarded by the dashboard's cancellation request. If you want feedback or a billing question to reach the team, send it to support separately.

## Resume before the subscription ends

If cancellation is pending and **Resume subscription** appears, the owner can select it to remove the scheduled cancellation. This button submits the request directly; it is not merely a preview.

Afterward, verify that the cancellation indicator has cleared and review the provider's subscription state. Resuming allows the subscription to continue, including future billing under its terms. Do not use it unless you intend to continue the subscription.

The provider supports resuming before the subscription's end date. An already expired subscription may require a new checkout instead; confirm the current state with support before purchasing again. ## When the controls are missing or fail

* **Admin but not owner:** ask the owner to perform cancellation or resumption.
* **Billed externally:** contact support to arrange cancellation or renewal; the dashboard cannot manage a subscription without the supported provider link.
* **Payment failed:** the normal Cancel plan control may be hidden. Contact support rather than assuming a failed payment has cancelled the subscription.
* **Already pending cancellation:** look for the cancellation indicator and Resume subscription, not another Cancel plan button.
* **Uncertain result or conflicting dates:** stop and have support check the provider record. Do not repeatedly cancel, resume, or resubscribe to try to correct the display.

Keep your confirmation or billing reference. A status label in Protodesk should agree with the provider before you consider the request complete.
